This policy aims to ensure transparency and fairness in the handling of refunds, providing clear guidelines for students and applicants regarding the conditions under which refunds are granted and the process for requesting them.
1. Non-Refundable Application Fee
The application fee is non-refundable under any circumstances. This fee covers the administrative costs of processing applications and is retained regardless of the outcome of the application.
2. Tuition Fee Refunds
If a student or applicant from a country requiring a visa is unable to obtain a visa, any tuition fees paid will be refunded in full. The student must provide official documentation of the visa denial. Students who withdraw from the university before the start of the semester are eligible for a full refund of tuition fees, excluding the non-refundable application fee and any other non-refundable charges. Tuition fees will be refunded on a prorated basis depending on the date of withdrawal, in accordance with the university’s academic calendar and refund schedule.
3. Dormitory Deposit Refunds
If a student or applicant has paid a deposit for student housing and is unable to obtain a visa, the deposit will be refunded in full. Official documentation of the visa denial must be provided. Students who withdraw from the dormitory before the official move-in date are eligible for a full refund of their housing deposit. Dormitory fees will be refunded on a prorated basis depending on the date of withdrawal. The prorated refund schedule is detailed in the university’s housing policy.
4. Deduction of Incurred Expenses
Any expenses incurred as a result of the visa application process, such as notary fees, translation services, or courier charges, will be deducted from the refund amount.
5. General Refund Policy
If the university cancels a course, students will receive a full refund for that course. This includes tuition and any specific course-related fees.
* Withdrawal Before the Start of the Semester:
Full tuition fees, excluding any non-refundable fees, will be refunded if a student withdraws before the start of the semester.
* Withdrawal After the Start of the Semester:
Tuition fees will be refunded on a prorated basis, depending on the date of withdrawal and the university’s academic calendar.
* Course Cancellation:
If the university cancels a course, students will receive a full refund for that course.
* Other Fees:
Fees for services rendered (e.g., lab fees, library fees) are non-refundable once the service has been provided. These fees are clearly listed in the university’s fee schedule and are applicable as soon as the student utilizes the service.
6. Procedure for Requesting Refunds
Students must submit a formal written request for a refund to the university’s financial office. The request must include:
* Student’s full name and identification number.
* Detailed reason for the refund request.
* Supporting documentation, such as a visa denial letter or withdrawal form.
Refund requests can be submitted via email or in person at the financial office.
7. Timeframe for Refund Processing
Refunds will be processed within 30 days of receiving the complete refund request and all necessary documentation. The student will be notified once the refund has been processed. Refunds may also be made through contracted third-party applications and relevant payment service providers.
This refund policy is subject to change. Any amendments will be communicated to students through official university channels.
